ILTACON 2023: A Legal Tech Wonderland with a Bright Future

A month ago, the Bundledocs global team braved the elements and ventured off to humid Orlando for ILTACON 2023, the annual conference of the International Legal Technology Association. The 5-day conference included 350 distinct educational opportunities and boasted over 3,400 registrants made up of ILTA Member law firms as well as industry technology providers, tech consultants, analysts, and droves of thought leaders. We were one of 158 exhibitors interacting with attendees and helping them navigate new technologies and products … and yes, even if it was not AI!

We eagerly shared a 12 month ‘progress report’ of our cloud bundling and PDF editing solution entry into the North American legal market a year prior which has led to a surge in cloud adoption around document bundling and now PDF editing, sharing best practices and lessons learned around the cloud and the ‘PDF as a Service’ trend.

As Peter Zver, Bundledocs’ VP of Revenue and Operations, North America put it: “One year later, our assumptions have been re-affirmed and increasingly, law firms of all sizes and complexities are leveraging cloud document bundles as well as PDF editing functionality that saves time, expense, and can be used out of the box and without much training or specialization.” The ability for both contributors and attorney-consumers to access the single centralized bundle at it evolves through production has been especially well received.”

This message resonated well with registrants who took time out of their busy educational schedule to meet and greet us. Aside from getting affirmation from firm CIOs and IT leaders, and based on preliminary results of the 2023 ILTA Tech Survey, that the cloud is (finally) here to stay, we had some other observations and takeaways from our weeklong visit to Florida:

Startup Hubs are cool: 25 legal tech start-ups showed off their innovations on a startup demo stage. The main software categories included cost capture and analysis products, legal writing / drafting / document automation / citation tools, contract drafting and transactional support offerings, and multiple software products using business analytics to capture data for litigation support analysis and collaborative purposes. Watching these tech leaders of tomorrow share their vision and promise of a better legal tech community was rather refreshing.

The cautionary tale of Generative AI: If you thought Legalweek New York in March was buzzing with Gen AI news and product demos your head would have really been spinning at ILTACON. Literally, every other vendor we talked with had some sort of an AI message and promise of a future AI silver bullet to cure all ills. Of course, this is a bit dramatic but while Generative AI dominated most conversations, the actual ironclad use cases are virtually nonexistent. So, for now, we’ll keep our eye on how things develop and hope that the next ILTACON in Nashville provides the proof in our AI pudding.

Klik it and they shall come: If the most talked about topic at ILTACON was generative AI, then second on the buzz meter was Klik, the smart badges given to attendees to help us better connect with delegates and each other. Consider these badge readers 2.0 and a very novel way to electronically connect and retrieve onsite contact info. The badges lit up when you clicked a button and signaled contact ‘success’.

Nothing beats tailgating: In typical ILTACON fashion, the Monday evening vendor exhibit hall party (aka the ultimate tailgate party) was a terrific way to kick-off the week and reconnect with old friends. The Bundledocs team represented Irish rugby pride and hopefully converted all non-believers that rugby is the ultimate team sport.

The Top Three Benefits of converting to an electronic document bundling system

It is no industry secret that many within the legal sector waste a significant amount of time creating documents manually for clients and court hearings. Following the mass migration to remote working, law firms have begun to digitally transform seeking new ways for their firms to continue operating efficiently.  

In an industry that traditionally operates with paper records adopting electronic systems can seem daunting. However, with e-documents firms can now operate from anywhere at any time and with increasing efficiency and reliability.  

We have identified three of the main benefits of migrating your law firm away from manual document budling to an entirely electronic bundling system: 

 

1. Increased Productivity 

One of the greatest benefits of electronic bundling is an improved workflow. According to McKinsey, employees spend 1.8 hours a day or 9.3 hours a week searching for documents. For paralegals, lawyers, and solicitors the time wasted searching through physical files and folders reduces the level of service they can provide to clients.  

This unnecessary time wasting can be almost eradicated with documents being managed electronically. With e-documents the required files can be accessed in minutes allowing for time to be spent on higher value tasks and clients.

E-documents provide an added level of reliability that cannot be replicated by manual solutions. In the Briefing efficiency/competitiveness axis for 2021, collaboration technology, such as electronic bundling, came out on top. Files can be backed up and accessed from a central system whenever they are required. With physical systems when a document is lost, the data can no longer be retrieved.  

There are many implications of lost data – security being a primary concern.  

You may be surprised to hear that digital file management actually offers higher protection than traditional means. When choosing a provider look for ISO certification. This global certification is awarded to businesses that can prove their systems protect user information both internally and externally 

Updating physical files can be a time-consuming process. With automated solutions firms can re-adjust documents with new labels and information to ensure that they remain up to date, if and when inevitable changes need to be made.  

 

3. Improved employee and client satisfaction – a better place to work  

 

We know that employee satisfaction is important not only for retaining talent but to ensure firms can operate efficiently and maximise profits. Embracing electronic processes allows more time for employees to spend time on career enhancing opportunities and building client relationships. 

Clients have also become increasingly tech savvy and have ever increasing service expectations. In a recent article in Legal Futures it was noted that digital access to legal services will become the norm with over 75% of all 55–64-year-olds and 50% of over 65s now using the internet via a smartphone. These statistics are significant for those who operate in traditionally paper-based sectors, now is the time to move to digital tools and sooner rather than later.  

By adopting electronic bundling systems, law firms will be prepared to meet the requirements of their employees and clients in a digital centric world.

4 Ways Embracing New Technologies Can Improve Employee Satisfaction In Law Firms

We know that employee satisfaction is important for organisations to reach their full potential and law firms are no exception. A study carried out by Salesforce found that employees who feel their voice is heard are 4.6 times more likely to feel empowered to perform their best work.

The pandemic has not only fast tracked the move to remote working but also forced many firms to revisit key processes and technologies to improve them, particularly in relation to collaboration and employee engagement.

We’ve identified four ways embracing new technologies can improve employee satisfaction in law firms.



1.      Ensuring better internal collaboration

Effective internal communication improves not only job satisfaction, productivity, and trust, but can also encourage collaboration among those in the organisation (Employee Engagement Survey, Gallup, 2017). In a recent legal industry survey, 67% of lawyers said that they would like to remain working remotely and would be open to splitting their time between the office and home.

Firms can also leverage technology to remove geographical barriers to employees creating meaningful connections in a remote environment. For example, in a recent insights piece Deloitte indicated that “technology can allow colleagues to better maintain relationships over time and space, creating a stronger attachment and loyalty to their co-workers and allowing them to have the social interactions they desire. As a side benefit, these long-lasting ties can also enhance the informal development and capabilities growth of individuals who may be better able to share knowledge across teams.”



2.      Saving employees time and energy

In the majority the legal sector is lagging behind, with many processes often paper-based and time consuming. We know that embracing technology solutions in lieu off traditional processes can save time and energy. For example, our client, Riana Nel, IT projects and implementation specialist at Wedlake Bell, recently commented that using Bundledocs has helped  to create long-term efficiency wins by helping their internal legal professionals to save a significant amount of time.

According to Effortless Legal, the opportunities for lawyers to benefit from Artificial Intelligence for example are endless.

Many automated and machine-learning features allow lawyers to complete several tasks faster and cheaper.  For example, when it comes to predicting case outcomes, Harvard Law reports that, “because AI can access more of the relevant data, it can be better than lawyers at predicting the outcomes of legal disputes and proceedings, and thus helping clients make decisions. For example, a London law firm used data on the outcomes of 600 cases over 12 months to create a model for the viability of personal injury cases. Indeed, trained on 200 years of Supreme Court records, an AI is already better than many human experts at predicting SCOTUS decisions.”



3.      Improving client relations

We know that client appetite for increasingly more sophisticated digital solutions has increased this past year, as they have been forced to rely more heavily on technological solutions themselves.

In a recent article for Legal Futures, a compelling argument was made for firms to embrace technological change with speed, noting that it is only a matter of time before both employees and clients demand a more seamless approach to that which currently exists in many firms.



4.      Creating a more agile working environment

A study conducted by Global Consultancy firm Gallup, found agile companies have eight specific qualities that enable their agile approach, one of which is the ability to adopt new technologies.
